As a Supplier of RSM Commercial Driver Training we require you to read and approve our GDPR Notice outlined below by completing the form at the bottom of the page.
In accordance with the General Data Protection Regulations (2018), RSM Driver Training Ltd is committed to processing data fairly and lawfully. This relates to data collected about our employees, suppliers and customers
That’s why, as a SUPPLIER we promise to:
- Only hold information about your organisation that is relevant and necessary for the services we supply you
- Keep your organisation’s data secure and once it is no longer needed, destroy all records
- Be transparent on what information we hold about your organisation and its employees booked with us, who it is shared with and why
- Only contact your organisation during the time which we are participating in business together, and when that need is no longer required, to give you the option to remain on our Marketing list to keep up to date with industry news and training offers in future
If you are booking our services on behalf of your employee or customer we will assume that you have their consent to process and submit their personal data for the purposes of booking their training and relevant appointments.
Information we collect and how it is stored
We will collect the following information and hold it securely on our systems for the specified period of time. After this time, unless you have ‘opted in’ to future correspondence, the information will be destroyed securely:
Your Organisation (Duration of our agreed contract)
- Company name, address and contact number
- What services/products are supplied and prices
- Employee Details’ (those booked for training) as listed below
- Account details
- Full name, address and contact details
- Date of birth
- Driving licence number
- National Insurance Number
- Licence category booked for
- Signed Pupil Record document
Who we share information with
For the purposes of helping your employees/customer obtain their provisional licences, book theory and/or practical driving tests, or for booking specialist training, it may be necessary for us to share information with approved driver medical companies, Pearson VUE Professional Testing Centres, the Driving & Vehicles Standards Agency and other training companies we work with.
Pupil Record Sheets
Any person who attends a driver-training course with us will have a personal ‘Pupil Record’. This will be completed daily by our instructor and your employee/customer. It will hold details of your employee/customer’s training dates, what training they are attending, progress and their feedback. In addition identifiable information such as driving licence and contact number will be kept on this document. At the end of the training course, this document is scanned and securely stored on our system along with (if applicable) a copy of any DL25 examination report and/or Pass Certificate. Any paper documents are destroyed.
We will email you the scanned documents we hold once training is complete. RSM will assume that you have adequate data protection in place and cannot accept responsibility of a breach of Data Protection relating to this document and its contents once its has been received.
RSM will retain the scanned documents on our computer system for a period of 12 months from the finish date, for the purposes of confirmation of attendance and the fulfillment of our services to you and your employee/customer.
On occasions our instructors may ask to take pictures of your employees/customers whilst training or once they have passed their driving tests. RSM will share these pictures on its social media platforms such as Facebook, Twitter, LinkedIn and Google+. We may also use the images for promotional material or for use on our website in future.
We will not take any pictures without a candidate’s knowledge or prior consent. If an employee/customer gives us consent to take a photo we will assume they are acting in accordance with your companies policy on this matter. RSM may also like to link/tag any photos to your organisations social media.
You have a right to contact us at any time after consent and or photo is taken and published and ask for it to be removed and destroyed.
For the purpose of crime prevention, RSM’s training depot has CCTV surveillance operating 24 hours per day. Signs are clearly displayed. Requests to view footage can be made to the Office Manager.
We feel its important to keep our all of our customers up to date with news, whether it be from us, the DVSA or other industry organisations, but we understand you may prefer not to receive such news. That’s why we will give you the option to opt in or out to this service once your training requirements have been fulfilled.
We only keep data for a year after training completion so we will contact you after this time to see if you still wish to remain on our marketing system if you have opted in.
You can change your preference at any time by contacting us.
There are many rights that you have regarding your personal data, including seeing what data we hold on you and requesting to see or have it removed from our systems at any time.
